All vendors must be checked in and unloaded by 9:00AM.

Welcome to the Halloween Harvest by Vegas Events and More!
PLEASE: Be sure to read through the instructions. It is imperative that you help to get the word out. 
Post on your website, personal pages, business pages, and throughout social media. This is YOUR brick and mortar for the day.

ALL VENDORS:  You must come up the loading elevator into the ballroom area.  NO ONE is allowed to go through the casino with any product or displays!!!
LOAD-IN

PLEASE follow the instructions. They are what the Santa Fe and Vegas Events and More needs. We appreciate your cooperation.  The loading area is located in the back of the casino.  Enter the casino from the Rancho entrance and go all the way around the north parking lot to the loading area (See figure 1).  You may pull up to the loading area and unload your vehicle completely, go and park your car anywhere in the parking lot area in Figure 2.  If you prefer, you can park in the parking lot first and unload your vehicle as you please.  Proceed into the building and to the elevator straight ahead in Figure 3.  The elevator is clearly marked "UP" and "DOWN" as seen in figure 4.  Do not press any other buttons unless you want to get lost.  Once you get off of the elevator, you will see a Vegas Events and More sign directing you to the doors to your right (see figure 5).  Proceed through those doors to the ballroom. The ballroom will be on your left.  Check in with Tim or Lynn to get your assigned space.  

You are responsible for getting your items to the showroom.  Bring your own wagon, dolly, cart etc.  The casino does not provide any of these.

C H E C K - I N (BY 9AM THE LATEST)

Vendors will be shown to their table location. Tables have been assigned to best accommodate the vendor, their special requests and the overall atmosphere of the show.  Please realize Vegas Events and More has the final decision on table assignment and cannot guarantee all requests have been met.  The floor plan is designed with the best intentions of each vendor and the success of the show.  Please do not request a change to your table space. We will hand out tax forms during the show.
S E T - U P (MUST BE COMPLETED BY 9:30AM)
Electricity is limited. You must supply your own extension cord and a power strip. There are electrical outlets on the walls and the Santa Fe Staff will be running main lines to use. You may need to link up together with others to reach your booth.  Please be courteous to other vendors and work together so everyone has access as they need.
 
***Please Note***: Lighting is better in some places than others: If your space requires special lighting to highlight your products, please bring your own lighting! LED Rechargeable lights work great!
 
Your table is equipped with linen and 2 chairs.  All items must fit on the table if you have paid for an 8ft table space. Please review your application info to know exactly what space you have and how much room is included. All storage containers, carts, extra product etc. must be kept out of sight under your table.  No additional items may be placed to the side, back or front of the table. If you prefer to use grid wall, racks, or other display items rather than the table, they must fit within the dimensions as if a table was there.  Please let us know this is your intention prior to the show.  Get creative in building up.  Use staircase displays or attached grid wall flush to the table to add height and additional display space.  We want everyone to be able to showcase their products the best that they can.  Once you are set up, take a photo of your booth and post it on the Facebook event page that we have set up. 
Due to fire code restrictions, items cannot bleed into walkways.  All aisle-ways are to be kept clear at all times during the show.  
S H O W T I M E (10AM TO 5PM)

During the show, it is important that you engage with customers and be as helpful as possible. Remember you are not only a reflection of your own business, but also a reflection of Vegas Events and More.  We want to continue to make a great impression so they will invite us back. A smile and a "hello" can go a long way. Whether they purchase from you or not please thank them for coming out to the show. They'll remember an inviting and welcoming show!  
Vendors are required to stay for the entire show and NOT tear down early! 
When vendors start to tear down, customers may get the impression the show is over and this may have an adverse effect on your fellow vendor's sales.  Some of the best sales can happen in the last few minutes of a show. Leaving early is unprofessional and rude to your fellow vendors and shoppers.
Any vendor tearing down and leaving early will be excluded from future shows.
If you need to leave your booth, please ask your VEaM neighbor to watch your booth. An empty booth is a disappointment to customers. Please do not make a customer stand around waiting for you. 
Internet Access - Santa Fe offers a FREE WIFI option to all guests.  This can be unsecured, very slow and spotty in areas.  Please be sure to have a proper data plan on your phone if needed.
Children -  Our events are family friendly.  Many vendors bring their children to help out.  This is acceptable; however, this is a place of business.  Children must behave and act in a professional manner.  Children misbehaving, running around, or otherwise disturbing the show is not acceptable.  The vendor will be spoken to the first time to correct the situation.  If this continues, the vendor will be required to leave the show. Please do not allow children to run around your booth or the ballroom.
Sales Tax -  The Nevada Department of Taxation requires sales tax forms ( and tax if applicable) to be collected at this event.  This is the LAW and not an option. 
It is your responsibility to know how this law works.
Tim and Lynn will pass out tax forms during the show if you need one. Please familiarize yourself with this procedure at the following website: One Time Special Event
Be prepared and understand what is required of you.  Vegas Events and More will collect required forms and payments (if necessary) at the end of the show.  No vendor is to leave without providing the required information. Please turn in your form and payment (if necessary) to Lynn's parents or to Lynn at the front VEaM table.
L O A D - O U T (5PM - NOT earlier)
Vendors are not permitted to pack early. The load-out will work essentially as the reverse of the load-in.  All vendors must exit room within 2 hours after the show ends.  PLEASE be considerate of your fellow vendors, we realize after a long day everyone wants to get home.  
During the show, if you need assistance please let us know. Tim & Lynn Dilloo (Owners) wear  company shirts.  If you are not sure who we are, ask another vendor as there is bound to be one nearby who knows us personally. If needed, go to the front VEaM table. They will get us.

TIPS  FOR  A  SUCCESSFUL  SHOW

ADVERTISE ON THE EVENT PAGE AND ON YOUR SOCIAL MEDIA SITES!! 
Events are a form of advertising and a great opportunity to put you face to face with potential customers.  Sales are great but often times sales come later.  Be sure to let everyone know who you are, what your business is and the products/services you provide. This is your brick and mortar store for the day! Take advantage of that!
  • Be visible, friendly & approachable. Say "hello" and thank them for coming to the show.
  • Create an inviting set-up. Be creative, draw attention to yourself and your product line. Exhibit how your product works.  
  • Invite shoppers to sign up for your mailing list and email those that you have currently. Offer a free sample or gift to sign up. You may also offer a drawing for merchandise to encourage sign ups.
  • Have plenty of change. Santa Fe has many ATMs, bill changers and cashiers to assist you. We recommend you use a counterfeit bill pen.
  • Accept credit & debit cards. Get a Square, Shopify, PayPal or other type of reader.
  • Be prepared. Bring supplies: tape, scissors, pens, paper etc.
  • Hungry?  Santa Fe does have a food court with Panda Express, Starbucks, Fatburger etc.  
  • Price your items visibly. Many customers hate to ask.
  • Promote events you are participating in. If you are in other shows or future shows with us, let customers know where you will be next. This builds up a following. Email your customers, share on social media. Promote yourself!  Working together we all can be successful. Post on the event page that can be found on Facebook.
  • Allow plenty of time for Loading & Unloading. Be ready when the door is open. Don't be rushed.
  • Scope out the venue beforehand. Know how to get there to avoid delays.
  • Casinos can be cold, Bring a jacket or sweater.
  • Use your time wisely. Keep busy, stay off the phone. Don't sit in the back of your booth. Sales can be lost if you aren't looking up.
  • Bring a camera. Take pictures. Help us to help promote you. Share your photos on your own timeline, social media accounts, and on our Facebook event page.
